Rental Policies
Please review the policies below before your stay. We want your vacation to be smooth, simple, and stress-free from booking through check-out.
🗝️ Check-In Instructions +
Weekday Instructions (Business Hours)
Check-in begins at 3:00 PM at the Palmetto Vacation Rentals office and runs until 5:00 PM. Guests will be texted when the unit is available on arrival day. If no operating cell number is on file, updates will be sent by email. If you cannot arrive by 5:00 PM, text 843-894-4071 or call 843-839-2737 with your name and approximate arrival time.
Delays can occasionally happen due to late check-outs or staffing limitations. Palmetto Vacation Rentals reserves the right to withhold keys until the property is ready for occupancy. Standard check-in location is the office at 4101 Mayfair St, Myrtle Beach, SC, unless otherwise instructed.
Weekday Instructions (After Business Hours)
A lockbox is located outside the office. You will receive arrival-day instructions by text once all required documents are received.
Before lockbox access can be provided, guests must send:
- A photo of a valid driver's license (or approved ID)
- Front and back of the credit card used to book the reservation
Documents may be sent to frontdesk@palmettovacationrentals.com or texted to 843-894-4071. The credit card used for verification must match the original booking card.
Once the documents are received, the lockbox code will be sent by text. Your packet and keys will be inside, labeled with your name.
Weekend Instructions (Saturday & Sunday)
Weekend office hours vary by season. If the office is closed, your arrival packet will be available for pickup after 3:00 PM at the office on your arrival day.
Please send your ID and credit card copies before the weekend to 843-894-4071 or frontdesk@palmettovacationrentals.com. After verification, the lockbox code will be provided.
Please do not call the emergency line unless you have an issue accessing the lockbox.
Requirements to Check-In
Front desk staff must verify identity before access is granted. Guests are required to present:
- Driver's license (or approved ID)
- Credit/debit card used for the reservation
The name on the reservation must match the ID and payment card. Palmetto Vacation Rentals reserves the right to deny access if required identification is not provided.
Authorizing Another Person to Check In
If someone else will check in on your behalf, the reservation holder must complete an authorization form at least 48 hours prior to arrival. If the authorization form is not completed, the alternate guest cannot be checked in.
🚪 Check-Out Instructions +
Check-Out Time
Check-out time is 10:00 AM (no exceptions). Keys, pool passes/cards, and parking passes must be returned to the office by 12:00 PM.
Late departures result in a fee of $100 per hour after 12:00 PM.
Check-Out Procedures
- Remove all food and trash from the property
- Remove items from washer/dryer
- Load dirty dishes into the dishwasher and start a cycle
- You do not need to strip the beds
- Return keys to the office at 4101 Mayfair St. by 12:00 PM
Early Check-In / Late Check-Out
Early check-in and late check-out requests are not currently offered.
Reporting an Issue During Your Stay
To report issues during your stay, call 888-808-2788. For urgent after-hours emergencies (fire, flood, lockout, A/C failure), call the same number and press 8. Please allow up to one hour for a response.
You may also text issues to 843-894-4071.
Maintenance & Repairs
Like any home, unexpected breakdowns can happen. Palmetto Vacation Rentals will make every effort to resolve issues as quickly as possible. However, no refunds or transfers will be made due to maintenance issues, including but not limited to non-essential systems and appliances.

🐾 Pet Policy
Pets are not permitted unless a property is specifically approved as pet friendly. Unauthorized pets may require immediate removal, and if not resolved within 24 hours, guests may be asked to leave without refund.
For approved pet-friendly properties, dogs only may be considered, with a non-refundable pet fee of $300 per pet (max 2), and a weight limit of under 40 lbs.
Service animals (dogs only) are allowed. Emotional support animals are not allowed.
🚬 Smoking Policy
All units managed by Palmetto Vacation Rentals are non-smoking inside and outside the unit. Violations will result in a $500 smoking fee.
🪪 Minimum Age / Groups / Occupancy
Minimum booking age is 22.
House parties and groups with members under 22 are prohibited. Non-family groups are not permitted unless all members are 22 or older.
Occupancy, including children and visitors, cannot exceed the unit's stated maximum. Overcrowding is a violation and may result in removal from the property.
🚫 Subletting
Subletting is prohibited. Any sublease immediately voids the rental agreement and no refund will be issued.
📅 Monthly Rentals (30+ Days)
For stays of 30 days or more, a security deposit equal to one month's rent is required. An additional deposit may be required depending on the reservation.
A $250 non-refundable deposit is due at booking. Remaining balances, deposits, fees, and taxes are due 45 days before arrival. Rent for additional months is due on the 1st of each month.
Utility overages may apply based on the reservation terms. Long-term or annual lease terms may also override standard monthly language.
🚗 Vehicle / Parking Policy
Most properties allow up to two parking passes. Some properties allow only one.
Motorcycles, campers, trailers, and boats are generally not allowed unless specifically stated. Parking rules vary by resort, so please verify your unit's details in advance.
🔍 Lost & Found
Palmetto Vacation Rentals is not responsible for personal belongings left behind. If found and returned, a $25 service fee plus shipping charges will apply.
🔑 Keys / Pool Passes / Parking Passes
Keys must be returned upon departure. Missing keys incur a $50 replacement fee.
Pool bands/tags and hard parking passes must also be returned. Charges vary by property/resort.
🏊 Resort Amenities Policy
Palmetto Vacation Rentals and homeowners cannot guarantee access to resort amenities such as pools, fitness centers, restaurants, or waterparks.
No refunds or rate adjustments will be issued if amenities are unavailable or access rules are changed by the resort or HOA.
🏗️ Construction Policy
Construction may occur in resort areas and is outside of Palmetto Vacation Rentals' control. No rate adjustments or rebates are issued due to nearby construction.
🔧 Entry for Maintenance / Showings
Authorized personnel may enter the property during normal working hours (8:00 AM to 6:00 PM) for repairs, maintenance, or property showings if the unit is listed for sale.
🔊 Noise Policy
Most properties observe a 10:00 PM noise ordinance. Please respect neighboring guests and residents in private communities.
Palmetto Vacation Rentals cannot control behavior in surrounding units. No refunds or rebates are issued for noise outside company control.
🐛 Bug Policy
South Carolina's climate can result in insects year-round. While every effort is made to keep units clean and treated, bug-free conditions cannot be guaranteed.
Management will respond to reported issues, but no refunds will be granted for bugs in the unit.
📶 Wi-Fi / Cable Policy
Palmetto Vacation Rentals is not liable for Wi-Fi or cable interruptions during your stay. Staff will make every effort to assist, but no refunds are issued for service outages beyond company control.
🌀 Hurricane / Severe Weather Policy
When a hurricane threat/severe weather is announced in the area, please adhere to Palmetto Vacation Rentals and local weather authority instructions.
There will be NO REFUNDS for your property due to hurricane evacuations or severe weather in the area.
Travel insurance is highly recommended and is offered through RentalGuardian. The insurance premium will be charged to your account at the time of your reservation and cannot be purchased if a named storm has already formed. Once purchased, insurance cannot be refunded. Coverage takes effect 24 hours after initial payment.

- Food, condiments, and specialty cooking items
Kitchen
Most kitchens include a refrigerator/freezer, range/oven, coffee maker, toaster, tableware, flatware, cookware, glasses, cooking utensils, microwave, and dishwasher. Some properties may vary. Please confirm with your booking agent if you need specific appliances such as washer/dryer, oven, or dishwasher.
Wi-Fi, Telephone & TV Services
Wi-Fi details are provided at check-in and may also be posted inside the unit. For service issues, call or text during business hours for help. Please refer to the Wi-Fi/Cable Policy for service limitations.
Changing a Reservation
Changes or transfers to a confirmed reservation require property owner approval and are subject to a $75 administrative fee.
Changes to Unit by Palmetto Vacation Rentals
If a reserved unit becomes unavailable due to damage or ownership changes, Palmetto Vacation Rentals will attempt to provide comparable accommodations. If no suitable substitute is available, deposits and payments will be refunded.
💳 Reservation, Payment & Protection +
Securing a Reservation
An initial payment equal to 50% of the total reservation cost is required to secure your booking. Final payment is due 30 days before arrival. The rental agreement must be signed and all payments completed before property access is granted.
Accepted Payment Methods
Palmetto Vacation Rentals accepts Visa, MasterCard, American Express, Discover, and other certified funds. If paying by check, payment must be received within one week of booking and no later than 30 days before check-in. A credit card must remain on file for incidentals. Returned checks incur a $60 bank fee.
Rental Rates & Fees
Additional fees such as taxes, cleaning, and administrative fees apply to reservations. Discounts offered after a reservation is made cannot be applied retroactively.
Security Deposits
For reservations under 30 days, no traditional security deposit is required if a valid credit card is provided and authorized at check-in for damages. Guests should report any damage immediately upon arrival to avoid liability.
Security Deposit Protection Plan
A protection plan is included in every reservation and may cover unintentional interior damages up to $1,000, provided management is notified before check-out. Intentional damage is not covered and will be billed in full.
🛡️ Travel Insurance (RentalGuardian)
Travel insurance is strongly recommended and is offered through RentalGuardian.
The insurance premium will be charged to your account at the time of your reservation. It cannot be purchased if a named storm has already formed.
Once insurance is purchased, it cannot be refunded to you. Coverage takes effect 24 hours after initial payment.
❌ Cancellation & Refund Policies +
Standard Reservations
If you need to cancel, please notify Palmetto Vacation Rentals immediately. A full refund of your deposit is available when cancellation is made more than 14 days prior to arrival.
Monthly / Long-Term Reservations (30+ Days)
Monthly or long-term reservations require 45 days' notice for cancellation. If canceled in time, a refund may be issued less the $250 non-refundable deposit.
Late Cancellations
Cancellations made inside the required notice period must be re-rented for equal value before any refund can be issued. If a refund is issued on a shorter cancellation, it may be reduced by a $100 administrative cancellation fee.
If a guest leaves early after check-in, no refund is granted. Reservations made through third-party OTA channels may follow that channel's cancellation terms.
✍️ Agreement & Signature Acknowledgement +
If you have questions about the rental agreement, please contact the office at 1-888-808-2788. The signed agreement must be returned before access to the unit is granted.
By submitting payment, the guest agrees to the terms and conditions of occupancy and rental confirmation. Guests are responsible for damages, lost keys, excessive cleaning, and other applicable charges beyond normal wear and tear.
Palmetto Vacation Rentals requires a valid credit card on file for incidental charges or damages. Your signature authorizes charges only for applicable damages or missing items.
